Privacy Policy

Under legal review. This policy is currently under legal review and may change. We will update the "last updated" date when it does.

Last updated: October 2026

This policy explains how TraffiTek Systems (Pty) Ltd ("TraffiTek", "we", "us") collects and uses personal information through this website, in line with the Protection of Personal Information Act 4 of 2013 ("POPIA").

1. Who is responsible for your information

  • Responsible party: TraffiTek Systems (Pty) Ltd, registration number 2024/317496/07
  • Address: 749 Richmond Street, Erasmuskloof, Pretoria, 0181, South Africa
  • Email: info@traffitek.co.za · Phone: +27 12 019 8540
  • Information Officer: Francois Nortjé, info@traffitek.co.za

2. What information we collect

When you send an enquiry through the contact form we collect:

  • your name, organisation, email address and (optionally) phone number;
  • the type of enquiry, the solution you are interested in, and optionally your sector, procurement route and timeline;
  • the message you write;
  • a record that you gave consent, with the date and time.

To limit spam and abuse the form temporarily checks how often a connection submits it. This uses a short-lived, one-way (hashed) value that is not used to identify you and expires within an hour.

If you email or phone us we keep that correspondence. Our web host may keep standard server logs (such as IP address, browser type and the pages requested) for security and fault-finding, for as long as the host's own policy provides.

3. Why we use it

  • to respond to your enquiry and prepare quotations or proposals you ask for;
  • to manage our relationship with you and the organisation you represent;
  • to keep the website secure and prevent spam and fraud;
  • to meet legal and record-keeping obligations.

We rely on your consent (which you give by ticking the box on the form), on steps taken at your request before entering a contract, and on our legitimate interest in running a secure business. We will not use your information for unrelated purposes, and we never sell your information.

4. Is providing information voluntary?

Yes. The fields marked * on the contact form are required so that we can reply and understand your request. If you do not provide them, we will not be able to respond to your enquiry. All other fields are optional.

5. Who we share it with

We share personal information only with service providers who help us run the website and our business (website hosting and email, currently our hosted Exchange email provider), with professional advisers where needed, and where the law requires it. These providers may only use it on our instructions and must protect it.

6. Transfers outside South Africa

The website is hosted in South Africa. Some providers we use (for example email, fonts and maps providers) may process information in other countries. Where that happens we only transfer information where the recipient is subject to law, a binding agreement or other safeguards that provide an adequate level of protection, as POPIA section 72 requires, or where you have consented.

7. How long we keep it

We keep enquiry information for 1 year after your last contact with us, and longer only where the law requires or where a contract or dispute makes it necessary. After that we delete it or de-identify it.

8. How we protect it

We take reasonable technical and organisational measures to protect personal information against loss, damage, unauthorised access and unlawful processing, including restricted access, secure connections and keeping our systems updated. If there is a security compromise that affects your information, we will notify the Information Regulator and you as POPIA requires.

9. Your rights

You may, at any time:

  • ask us to confirm whether we hold information about you and to give you a copy;
  • ask us to correct or delete information that is inaccurate, outdated or unlawfully held;
  • object to our processing of your information, or withdraw your consent (this does not affect processing already done);
  • complain to the Information Regulator if you believe your information has been mishandled.

To exercise these rights, contact our Information Officer using the details above. You may also complain to the Information Regulator through its eServices portal at inforegulator.org.za; general enquiries: enquiries@inforegulator.org.za, 010 023 5200 or 0800 017 160; Woodmead North Office Park, 54 Maxwell Drive, Woodmead, Johannesburg, 2191.

10. Cookies and third-party content

This website does not use analytics or advertising cookies or trackers. We use Google Search Console to see how the site appears in Google Search; it does not place trackers on your device. The site loads fonts from Google Fonts, and the contact page shows an embedded Google Map. These providers receive your IP address and may set their own cookies, which are governed by their privacy policies. If you use a "Share on LinkedIn" link, LinkedIn's policies apply once you leave our site.

11. Children

This website is aimed at organisations and professionals and is not intended for children. We do not knowingly collect information from children.

12. Changes

We may update this policy and will change the "last updated" date when we do.
